Answering 1st or 2nd Ring


Welcome to our next article in the “10 Things to Consider†series on phone manners. In today’s topic we are going to suggest that you should be prompt when you answer customers on the phone.

This will make a positive impression with the caller and so the call will immediately be better than if you let the phone systems ring four or five times or more.

Answering_1st_or_2nd_ringYou do need to appreciate that when the person on the other end of the line is listening to it ringing out, time goes much more slowly than normal. This is because they have no distractions of any kind. They are simply hearing the sound of the phone systems’ announcement tone. The enquirer who feels that he has been hanging on the phone systems for ages will soon begin to think that they are of little importance to the firm that they are calling and become short-tempered at the delays.

In fact the longer phone systems phones remains unanswered the more their irritation will grow and it could possibly see them putting the handset down. As this might have been a welcome sales enquiry this is a seriously undesirable outcome for the company.

If the customer has a complaint or query then it is possible that you will have more trouble dealing with them if you have irritated them further before you have even answered the telephone system.

So remember that answering phone systems promptly sends a strong message to the other party. They get the feeling that you represent a well organised business and that you are eager to deal with them. They are bound to have a more satisfying experience when you respond to calls efficiently on your phone systems.

In today’s topic we are going to suggest that you should “Be-“, as they say in the Boy Scouts – “Preparedâ€:-

Your phone systems ring constantly and you need to be ready for those important callers. If you are fumbling for information when asked a question it is irritating to the person at the other end of the line while you locate it.        

The best way to understand this is to try to imagine yourself in their position. What are your thoughts when you are requested to hold while they “find a piece of paper� You would probably think how ill-prepared they are. So make sure that you have a writing implement and pad to hand before responding to a ringing phone!    

The same applies when you arrive first thing in the morning. If you rush in at the last minute you won’t have had time to fire up your PC, so then, what use are you? Aim to get in to work five minutes early so that you can hit the ground running right from the beginning of business hours.    

This means your computer is fired-up and has the correct programmes open so all of the knowledge that you require is at your fingertips. You will gain a confidence that is infectious and you will enjoy being prompt with your responses. More importantly it gives a very good impression about you and your firm if you answer your phone systems efficiently.

Approved Greeting


Welcome to our next article in the “10 Things to Consider†series on phone manners.

Approved_GreetingThe customary greeting on answering your telephone is something that your business has made a decision on and it is part of the branding of the company.

Each person in the office, whether they normally answer the phone systems’ calls or not, should respond to incoming callers with the same basic format.

The most used reply is: A welcome: This can be Good-Morning, Good-Afternoon or Good-Evening dependant on the time-of-day.

Secondly – clearly state the TITLE of the organisation. This stops any misunderstandings when someone has dialled a wrong number.

Thirdly = give your OWN NAME. It results in the caller getting a nice feeling if they know who they are talking to. For example “Hello, Telephone Systems Direct, JOYCE speaking.â€

You can then ask the customer how you can help them.

By adopting this simple approach it means that you will never be tempted to make an unprofessional remark such as “Hi-ya!†when responding.        

If you regularly use your phone systems in this way – engaging a pleasant tone of voice – then you can immediately create a very positive impression.

It can be an excellent idea to practice this technique on your phone systems so you feel very confident when you pick up the receiver.
Be effective – let your phone systems work for you.  Be aware that your phone systems are assets.  Speak to everyone as if they were the first of the day!
