How can you contact them when you need to


This is the final article in this series on ten things to consider when choosing a Capital Equipment supplier.  Hopefully you’ve found them stimulating and thought provoking ……..

Today we have too many modes of telecommunication to choose from.  There’s the old-fashioned telephone.  Then there is email, GSM phone, text messaging, video conferencing, TDM phone systems, VoIP phone systems and not forgetting the facsimile/fax – these are all forms of instantaneous communication.  We originally relied on the written word being delivered through the post -taking days to arrive – then telegrams were utilised for really important messages.

With the plethora of communications formats it can be a full-time job keeping up-to-date with mails sent to you – what with Facebook, Twitter and all the other social websites.

phone_systems_010We constantly aware that trying to sort out any British Gas or BT problems will inevitably lead us into speaking to an agent based thousands of miles away in the Philippines or India, rather than Glasgow or Bristol.

So getting in touch with your capital equipment suppliers is by no means simple.

In your purchasing investigations don’t forget to scrutinise the chosen supplier’s website Contact page.  This should give you (1) a Phone Number (2) an e-Mail Address and (3) their Post Code.  In certain instances there will be a “Click Here to Chat†button – this will connect you to their call-centre.

This is perfect for a sales enquiry.  But how do you contact them after installation to progress a fault?

Prior to commitment to the salesman, ask to talk to their maintenance / operations manager.  Quiz him / her about points-of-contact during the normal working week, out of hours, and for national holidays.

It does depend on your business and how long you can tolerate any lack of service your systems should provide.  If it’s your phone systems and you have no incoming calls then you’ll want it fixed Pretty Damned Quick!  If it was only the phone in the restaurant then you could wait a day or two.
BUT – How would you react if, when you ring up to report a serious problem, you only reach a Voice Mail?  “Not Acceptable†I hear you say.

There are different levels of support from most providers – 9-5, Monday-Friday, Out-Of-Hours and 24/7.  Premiums will apply for the latter of these.

They may use an agency or will have someone On Call.

But what most people don’t expect is an 0800 phone-number, or for the Managing Director to offer them his Mobile number so that if there is a life-and-death issue – he can be contacted personally!  We Do!

So please be thorough in your investigation – it’s all part and parcel of Risk Management strategy that we alluded to in our opening document – check out all the supporting issues as well as the primary product.

Do they have the experience


This is the penultimate article in our series on ten things to consider when choosing a supplier.

Today’s technology has taken over.  Even the mechanic in the garage, has to rely on a computer to diagnose whether the car’s engine and suspension are in working order – it’s no use him being a magician with a spanner and a dab hand using his feeler gauges to set up your ignition any more!

phone_systems_011So if you are considering a capital equipment purchase such as phone systems or the latest in voice recorders you can be sure there are a number of suppliers of the product you’ve decided has the features and facilities your firm requires.  The burning question is, can they maintain it, or will they sub-contract it out?

It is far better with purchases like this that you have support from the vendor – you’ve experienced it before where someone else comes along to say “This hasn’t been fitted to the specification!â€Â  They will then charge you the Earth to put it right.  If it’s the company that installed it, then you do have a legitimate argument for having it corrected for free.

Check if the dealer has manufacturer accreditation – this tells you that they have been trained – but enquire how many of the technical team are qualified to service your OfficeServ7000 – the more of them there are, then you are guaranteed excellent cover.

phone_systems_009For phone systems there’s more to it than just the telephones themselves.  The technician should be aware of the complexities of CAT5, CAT6, ISDN2e, ISDN30e, Broadband, SIP, DECT, Wi-Fi, Bluetooth, DDI, CLI, ACD, and others!

Where you require additions, then again skill is a boon.  The awareness of how to implement any change to phone systems without taking them out of operation for hours will limit the down time where your staff cannot perform.

Hopefully you’ll have spoken to Les, Dave, Adrian, Damian, Danny and Tony and appreciate that we do have the knowledge on phone systems that’s the equal of any other phones systems provider.

phone_systems_010When you speak to someone new every time you dial your phone systems maintainer, then perhaps they are so big they have outsourced their Call Centre to India or the Philippines, or their organisation is so poor to work for that they have a very high employee turnover.

Continuity means a great deal in these days.  Your regular phone systems engineer knows the faults you’ve experienced previously and can put his finger on the snag quickly and can keep it in context – and probably identify it is a problem with the way the programme has been set up – he will then recommend a more appropriate solution.

Having a satisfied team is not always straight-forward as each individual has their own priorities and aspirations.  Bosses who give them fair pay, reasonable working conditions and most importantly – recognition for jobs well done – will be benefiting from loyalty and a willingness to perform their tasks to the full.

This is all good news for customers.

Irrespective of the form of product you are spending thousands of pounds on – check how contented your potential suppliers’ employees are – you’ll benefit if they are happy.

So when you’re doing your research into computer or phone systems – delve into the company’s website to see how the workforce is treated and when you call them up, listen for a smile in the person’s voice.  It will reveal a person who is content and with a commitment in communications.

More about us…. hopefully you will be aware that this phone systems dealer was founded in 1992 and that the technical staff are long served – our most junior member has been with us for over 5 years while the Operations Manager has racked up twenty!  The Managing Director rewards all of us with a Christmas do that sometimes involves flying to Amsterdam, Prague, or Dublin for a week-end’s site seeing and evening entertainment to say a sincere thank you!

can they support you adequately


This is the next article in our series of ten things to consider when choosing a supplier of capital equipment.

Hopefully you have taken all the advice we’ve offered previously and you now have a short list of potential suppliers.   As with every occasion where you are going to part with thousands of pounds of your money to invest in your company, you have to be convinced that when the inevitable occurs and something does go awry, you won’t be left without the services of the product you’ve purchased.

When we touched on Risk Management, we told you that you have to rehearse what to do when the theoretical threat to your asset actually happens.  

  • Who do you ring?
  • How long will it take them to respond?
  • What do you do in the meantime?

When contemplating these questions you need to put everything into context – for instance on phone systems problems that occur on a single extension, you can tolerate a slight delay, BUT for those that affect everyone – e.g. your lines have gone down – the resolution is critical and your phone systems maintainer needs to act promptly.

With modern technology, sometimes it’s not a physical necessity for an engineer to be despatched to site.  It may be possible that they can fix your problem remotely through an internet connection.

  • Do your short-listed providers have national coverage?
  • What cover do they have for holiday periods or illness?
  • Do they carry spares?

You will discover that the ones who have manufacturer’s accreditation will be 1st rate in providing support to you.

Some organisations, such as in the hotel industry believe they require 24/7 protection, and there are those who demand a four hour response.

When you probe their reasoning – what they really desire is instant contact over the phone and the assurance that the incident will be fixed in the minimum time.

This is the next article in our series on ten things to consider when choosing a supplier of capital equipment.

To save days of searching for any product like phone systems or photocopiers seek a personal recommendation from a client or business colleague.  But do be careful they are being sincere and are not telling you just to get a kick-back from their provider!

Find products that you’re going to be spending a considerable amount of your hard-earned money on -  by utilising the internet – be certain that you look at any video testimonials that they have put up for viewing.  But as with most situations – do not take it for granted because it could be an actor playing a role pretending to be someone they’re not!  We suggest that you write down the person’s title and the firm they represent, then by alternative means, find their phone number and call them up for a first-hand ratification of what they said.

It is possible that the clip could be a few years old and the individual who was featured has retired or moved on.  In this case chat to their successor.  Failing this, talk to the company’s telecoms or IT manager for phone systems or computer related applications that are the subject of your investigation.  These people will have relevant knowledge of the features and facilities that you are interested in and will inevitably have been in touch with the product’s maintainer recently.

You can always ring up and ask over the telephone for the name and address of any reference sites the dealership has in the industry you operate in – they’ll be glad to do that.  Hopefully they’ll have several – showing you that they have the expertise to cope with the idiosyncrasies that your profession is unique in – and, more importantly, that others have found the solution pertinent to them!  Speak to them – they feel important giving you their perceptions – which are invariably truthful.

Are They Real Or Just A Trading Name


This is the next article in our series on “10 Things to Consider” when choosing a supplier.

Just like us there are many retailers that operate under assumed names to ensure their sales input meets the targets set to generate income.

phone_systems_005Today our first port of call for anything from pizzas to phone systems is the Internet.  It is the ubiquitous tool which informs us what’s out there and the headline price we are going to have to pay to achieve our goal.  Unfortunately not everyone is prepared to browse through thousands of pages of blurb so it is imperative that your website figures on Page 1 of Google, Yahoo, Bing, or any other of the hundreds or search-engines that are out there.  By promoting your business under other facades it caters to the different tastes of the searchers, who prefer one form of words, or page layout, than the others.

So if you are searching for capital equipment acquisitions such as phone systems, or colour photo copiers, delve a bit deeper into their site’s “About Us†section to see if there’s any mention of the fact that the trading name is part of a larger entity.  Of course you could look at the companieshouse.gov.uk “web-check†to investigate if the moniker really exists.

When you have decided that the item and service described are to your taste, ring them up, but after the introductory conversation concerning the targeted product, ask them a direct question: “What is your registered number with Companies House�  You can then double-check.

It is possible that outfits who have invested in this operational mode are well worth dealing with, providing they are creditworthy, have manufacturer accreditation, and with customer endorsements that can be verified.
